Scheduling a Tutoring Session

Setting session details to schedule a session

Once you have found a tutor of your liking, send them a session request to schedule a day/time/location to meet. You can request the session by clicking the Request session button on the tutor's profile or through your messages with them!

On the Request session page, you'll be asked to:

  • Select a course — from the course catalog provided by your university.

  • Set a date and time for the session — when booking a session, you’ll see the tutor’s available times directly in the scheduler. This makes it easier to find open slots and reduces scheduling conflicts.

  • Set a recurring cadence — once or weekly (up to 15 sessions).

  • Set an expected duration — in 30 minute intervals, although the actual session can run for a shorter or longer amount of time (up to 1.5 hours per session).

  • Set a location — where the session will take place; either in-person or online.

  • Select a location — if you choose to meet in-person.

  • Invite students (optional) — where you can ask fellow students to join your session or set the session to public and allow any students to join it.

  • Write a message (optional) — to let your tutor know any details before the session.

Your tutor can either accept the request, propose changes to the session details (different day/time, location, etc.), or message you to chat.

Recurring Sessions

What is Instant Booking?

Instant Booking allows eligible session requests to be automatically confirmed without requiring tutor approval. This feature reduces scheduling delays and help students to secure available sessions immediately after submission.

Some tutors may enable Instant Booking, which automatically confirms eligible session requests without requiring tutor approval.

During the booking process, you may see one of the following scheduling indicators:

  • Instant-Bookable — The selected session qualifies for Instant Booking and will be automatically confirmed when submitted.

  • Within Availability — The selected time falls within the tutor's preferred availability.

  • Outside Availability — The selected time falls outside the tutor's preferred schedule but may still be requested.

If a session does not qualify for Instant Booking, the request will be sent to the tutor for review and approval.

Note: Although Instant-Booked sessions are confirmed immediately for students, tutors are still required to acknowledge them, with a persistent notification banner displayed until acknowledgment is completed; for recurring sessions, acknowledging one booking automatically acknowledges the entire series, and reminders are sent 12 hours after booking if the session remains unacknowledged, followed by an automatic decline after 24 hours, though tutors may also choose to manually decline a session before acknowledging it.

FAQs

How long can tutoring sessions last?

Each individual tutoring sessions has a max duration of 1.5 hours. This is because studies have shown that the ideal length of a peer-to-peer tutoring session falls between 30 minutes to 1.5 hours. To learn more, refer to this help article.

Can I share any documents or images with my tutor through Knack?

You may want to share a specific non-graded assignment or practice with your tutor, so that they can prep before the session or know exactly what problems you are looking for help with.

To do this, navigate to the sessions tab and select the session you would like to upload a to. Once in this view, you will see an option to upload a file (via drag & drop or browse files). Once uploaded, all users invited to the session will see these files.

Is there a way to send a link to my tutor?

Yes! You can send a link to the tutor through your inbox and/or by posting the link in the session description section when scheduling/editing the session!
